How to request deletion
You may submit a deletion request by emailing chetan@veprio.com with the subject line “Data Deletion Request”.
Please provide only the information reasonably necessary for us to identify the relevant account, business or interaction. Do not send passwords, payment-card numbers, government identification numbers or other unnecessary sensitive information.
Request steps
- Email chetan@veprio.com with the subject “Data Deletion Request”.
- Tell us whether you are a Veprio business customer, an authorised user of a Veprio business account, or a person who interacted with a business using Veprio.
- Provide the minimum information needed to identify the relevant data, such as your business name, account email, telephone number, or the name of the business you contacted.
- We may ask you to complete reasonable verification before we act on the request.
- Once the request is verified, we will process it within the period required by applicable law and, where no specific period applies, within a reasonable time.
If you are a Veprio business customer
A Veprio business customer may request deletion of its Veprio account and personal data associated with that account by contacting chetan@veprio.com.
Where possible, submit the request from the email address associated with the Veprio account and include the business name and any relevant account or communication identifier needed to locate the account.
A business-account deletion request may affect the business's access to Veprio and may remove or de-identify account information, configuration, authorised-user information, contacts, conversation records, CRM records, appointment or workflow records, and other information associated with the service, subject to the exceptions described below.
If you interacted with a business that uses Veprio
If you contacted a business that uses Veprio, including through WhatsApp or a supported voice channel, the business generally determines the purpose for which its customer information is used and is usually the appropriate first point of contact for a request relating to that information.
You may:
- Contact the business directly. Ask the business you interacted with to delete information it controls about you.
- Contact Veprio. Email chetan@veprio.com and identify the relevant business and the telephone number or other identifier used in the interaction. Where appropriate, we will locate the relevant Veprio-held data or assist the business in handling the request.
You do not need to create a Veprio account in order to submit a deletion request.
WhatsApp-related data
If your request concerns an interaction conducted through Meta's WhatsApp Business Platform, please identify the business you messaged and the telephone number used for that interaction. This helps us locate the relevant Veprio records without requesting unnecessary information.
Where Veprio holds WhatsApp-derived personal data associated with a valid deletion request, we will delete or de-identify the data as appropriate, subject to lawful retention requirements and any responsibilities of the business that controls the underlying customer relationship.
Where deletion also requires action by a relevant service provider or sub-processor, we will take reasonable steps appropriate to our role to cause or request deletion of the applicable data.
What may be deleted
Depending on the request, Veprio's role, the service configuration and the data involved, deletion may include or de-identify:
- business-account profile information;
- authorised-user information;
- customer contact records;
- WhatsApp conversation records held by Veprio;
- voice-call metadata, transcripts or recordings held by Veprio;
- appointment or booking records;
- CRM and lead information;
- conversation summaries;
- workflow and follow-up records; and
- other personal data associated with the verified request that Veprio is required or authorised to delete.
Information we may need to retain
A deletion request may not require us to delete information that we are legally required or otherwise lawfully permitted to retain. Limited information may therefore be retained where necessary for:
- accounting, taxation, invoicing or transaction records;
- fraud prevention and security;
- investigating abuse or security incidents;
- establishing, exercising or defending legal claims;
- complying with legal or regulatory obligations;
- resolving disputes; or
- maintaining limited audit evidence that a deletion request was received and handled.
Any retained information will be limited to what is reasonably necessary for the applicable purpose and will not be used for unrelated advertising.
Backups, logs and service providers
Personal data may temporarily remain in encrypted backups, security logs or disaster-recovery systems after deletion from active systems. Such residual copies are removed or overwritten according to normal retention cycles and are not restored into active use except where necessary for legitimate recovery, security or legal purposes.
Where a service provider or sub-processor holds personal data for Veprio and deletion is required, Veprio will take reasonable steps appropriate to its role to require or request deletion by that provider.
Verification and protection against unauthorised requests
Before providing access to, correcting or deleting personal data, we may ask for information reasonably necessary to verify the identity or authority of the person making the request. This is intended to prevent someone from deleting another person's or business's information without permission.
We will not ask for more information than reasonably necessary to verify and process the request.
Timing
We will process a verified deletion request within the period required by applicable law and, where no specific statutory period applies, within a reasonable time.
If we need additional information to verify or locate the relevant data, the time required to complete the request may depend on when that information is provided.
If we cannot fully delete information
If we cannot fully satisfy a verified deletion request because certain information must be retained or deletion is otherwise not required or permitted by applicable law, we will, where appropriate, explain the relevant limitation. We will continue to restrict the retained information to the purpose for which retention is justified.
Deletion does not require payment
Veprio does not charge a fee merely for requesting deletion of personal data. Nothing on this page is intended to limit any non-waivable privacy rights available under applicable law.
